Food and Beverage Service
Please note all alcoholic beverages are regulated by the State of Texas. As licensee, The Texas Belle is responsible for the administration of these regulations and therefore, no liquor, beer, wine or beverages may be brought onto the premises from outside sources. A complete beverage service is available through The Texas Belle. The Texas Belle has a preferred caterer although outside caterers may be used. Supplemental usage fees will apply.
Damages and Liability
A refundable $500 damage deposit is due at contract signing/booking and will be mailed to you 7 business days after the event, providing there is no damage to the facility.
Pricing and Service Charge
All rentals, food and beverages are subject to applicable fees, sales tax of 8.25% and a 20% service charge.
Wedding Rehearsals & Engagement and Bridal Portrait Sessions
Ceremony rehearsals are usually scheduled between 4:00 p.m. and 5:00 p.m. or between 5:00 p.m. and 6:00 p.m. on the day prior to the ceremony. However, event bookings and Texas Belle events preclude any scheduled rehearsals. Rehearsals may be scheduled to take place in any open area of the event center (any area not booked) for practice/rehearsal purposes only. Engagement portrait sessions must be scheduled Monday through Thursday during normal business hours.
Payments
To secure your date, The Texas Belle requires half the room rental fee and the damage deposit at contract signing/booking. Confirmations are made at this time. The date is not considered confirmed without this payment and a signed contract from the responsible party. Final payment of the room/location fee is due 60 days prior to the event date with final payment of alcohol guarantee due one week prior to the event date. All payments may be made by Visa, MasterCard, Discover, personal or business check or money order.
Decorations
All decorations must be supplied at the expense of the host with the exceptions of the amenities provided by The Texas Belle. Deliveries to The Texas Belle must be coordinated through The Texas Belle event coordinator. Use of birdseed, rice and sparklers is prohibited. No tapes, tacks or nails of any kind may be used. Only bubbles and white rose petals may be used for bride and groom exit (outside of building). No open flames are allowed. Only pre-approved votives are allowed on banquet/reception tables. Event signs are prohibited in public areas of The Texas Belle. Signs must be pre-approved by Texas Belle event coordinator prior to the event.
Cancellation Policy
Cancellation of an event may be subject to loss of funds or will incur charges according to the following policy: The 50% room deposit is non-refundable. Clients who cancel within six (6) months prior to the event, forfeit total room rental charges and any applicable “loss of funds” charges (any actual out-of-pocket expenses not recoverable from vendors and suppliers due to cancellation)*. When an event is not cancelled but multiple rooms are reserved and one or more rooms are cancelled, The Texas Belle reserves the right to charge the client for that room if it cannot be rebooked to another client. In the case that a scheduled event must be postponed, reservation fees will be held and honored for twelve (12) months from the date of postponement (event must occur on or before the expiration date). Written notification of postponement must be received by The Texas Belle six (6) months prior to the scheduled date of the event; 50% of the room rental rate will be applied. Military exceptions apply. In the event of cancellation two weeks prior to the event, a charge of all room fees will be incurred as well as any expense incurred by The Texas Belle.
Security
One (1) security guard is required per 100 guests. A four-hour minimum is required.
Parking
Parking is available in The Village at Old Coppell parking area north and south of The Texas Belle Event and Conference Center. There is no charge for parking. The Texas Belle can assist groups if they would like to arrange valet parking for their guests.
Valet Parking
For evening events, valet parking is an option. One (1) valet is required for every twenty (20) cars.
Smoking
The Texas Belle is a non-smoking facility indoors. Only specified areas outdoors are allowed for smoking.
*Refunds, minus the non-refundable deposit, will be issued in the event another comparable event is booked on the same date, room and time with The Texas Belle.
